Strong Roots Preschool ("Strong Roots," "we," "us," or "our") operates a licensed childcare and early education program in Northridge, California. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices available to you. This policy covers our website and our enrollment and program operations. It applies to information about parents, guardians, and other adults ("Parents") as well as information about enrolled children.
1. A Note About Children's Information
Our website is directed at Parents and other adults, not at children, and we do not knowingly collect personal information directly from children through the website in a manner inconsistent with the Children's Online Privacy Protection Act (COPPA). Any information we hold about your child is collected from you, the Parent, or generated in the course of providing childcare services. We do not collect it from your child online.
2. Information We Collect
2.1 Information About Parents and Guardians
Contact and identity information: name, address, phone number, email address;
Enrollment and billing information: tuition payment details, billing history, employer information (if relevant to subsidy or benefits programs);
Communications: messages, inquiry forms, and correspondence with our staff;
Website usage information: IP address, browser type, pages visited, and similar technical data collected through cookies (see our Cookie Policy).
2.2 Information About Enrolled Children
Identity and family information: name, date of birth, address, and Parent/guardian and emergency contact details;
Health and medical information: immunization records, allergies, medical conditions, medications, physician contact information, and other health information required for enrollment under California childcare licensing requirements;
Authorized pickup information: names and contact details of individuals authorized to pick up your child;
Attendance and program records: daily attendance, incident and injury reports, and developmental or progress notes prepared by teaching staff;
Photographs and video: images and video captured during classroom activities, as described in our Terms and Conditions.

4. How We Share Information
We do not sell children's personal information, and we do not sell or "share" (as that term is defined under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, "CCPA") personal information for cross-context behavioral advertising. We disclose personal information only in the following circumstances:
Service providers: payment processors, billing platforms, email/communication tools, and similar vendors who process information on our behalf under contractual confidentiality and data-protection obligations;
Licensing and regulatory authorities: the California Department of Social Services, Community Care Licensing Division, and other agencies as required by law or during a licensing inspection;
Emergency responders and medical providers: as needed to protect the health or safety of a child;
Child protective services and law enforcement: as required under mandated reporting law or other legal obligation;
Legal requirements: where disclosure is required to comply with a subpoena, court order, or other legal process, or to protect the rights, property, or safety of Strong Roots, our families, or others;
Business transfers: in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.
5. Your California Privacy Rights (CCPA/CPRA and CalOPPA)
If you are a California resident, you have the right to:
Know what personal information we have collected, used, disclosed, and (if applicable) sold or shared about you;
Delete personal information we have collected from you, subject to legal exceptions (for example, information we are required to retain under childcare licensing or health and safety recordkeeping laws);
Correct inaccurate personal information;
Opt out of the sale or sharing of personal information. As noted above, we do not sell or share personal information for cross-context behavioral advertising;
Limit the use of sensitive personal information. Some of the information described in Section 2.2 (including health, medical, and immunization information) is "sensitive personal information" under the CCPA/CPRA. We use and disclose sensitive personal information only as necessary to provide childcare services, comply with childcare licensing and health and safety law, and address health or safety emergencies. We do not use it to infer characteristics about you or your child for any other purpose, so no additional opt-out is required for that limited use;
Non-discrimination for exercising any of these rights.
To exercise these rights, contact us using the information in Section 10 below. We will verify your identity before processing a request, generally by confirming details already on file for your enrollment account. For requests made on behalf of a child, we will verify that you are the child's Parent or legal guardian. We will respond within the timeframes required by California law.
Consistent with the California Online Privacy Protection Act (CalOPPA), this policy discloses how we respond to browser "Do Not Track" signals: our website does not currently change its data collection practices in response to Do Not Track signals, though you can manage cookie preferences as described in our Cookie Policy.
6. Data Retention
We retain child health, immunization, and enrollment records for at least three years following a child's separation from our program, consistent with Title 22 recordkeeping requirements for licensed childcare facilities, and longer where a longer period is required by law or by an active licensing inquiry. We retain Parent contact and billing information for as long as needed for administrative, tax, and legal purposes. Photographs used with marketing consent are retained until the consent is withdrawn or the material is no longer in active use, whichever occurs first.
7. Data Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, including children's health records, from unauthorized access, use, or disclosure. Paper records containing health or emergency information are kept in secured, access-limited locations at our facility. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will revise the "Effective date" above when changes are made, and where changes are material we will notify enrolled families directly.
9. Staff Background Checks
All Strong Roots staff who have contact with children complete fingerprint-based background checks (Live Scan) through the California Department of Justice and FBI, and are cleared through the CA Department of Social Services Trustline registry, as required for licensed childcare providers under Title 22. Records of clearance are maintained on-site and available for licensing inspection.
